Events

Conferences and events: complete technical production in one place.

From an empty hall to a venue ready for its first guest. We design the space, create a 3D preview of the layout, and source and install staging, lecterns, scenic elements, decor, furniture and exhibition features. We connect them with LED screens, sound, lighting, interpretation, video production, live streaming and guest check-in. For product launches, we can also design large-scale 3D models and other custom physical features that draw visitors in.

Send the date, venue and programme - we will propose a technical setup and a quote.

One point of contact for the whole technical production

A corporate event is more than a screen on stage. The picture must reach the back of the room and any overflow space; speech must reach the audience, interpreters and online viewers; presentations must reach the speaker, production desk and recording system. Planning these together saves the organiser from coordinating separate power, LED, audio, lighting and software providers.

We prepare the layout, equipment list, power plan, signal and audio routes, build schedule, tests and crew assignments. If useful, we show the furnished room in a 3D preview before the event. One contact leads delivery, including specialist partners for furniture, model making or particular technical systems. The final scope follows the venue, programme and approved quote.

Venue power and electrical distribution

We first check what the venue can actually support: available connections, supply capacity, distribution boards, safe cable routes and options for backup power. We then plan feeds for LED, sound, lighting, production, check-in and other equipment.

  • power load planning and separation of technical systems
  • temporary distribution and connections suited to the venue
  • supply for the stage, production desk, foyer, exhibition zones and outdoor areas
  • cable runs, cable ramps and protected pedestrian crossings
  • backup options for critical signal and computer systems where needed
  • coordination with venue management and qualified electrical contractors where required

LED wall rental, projectors and conference displays

We choose screen size based on viewing distance, ambient light, stage height and the content itself. Speakers need a separate preview; the production crew needs to see every input; other rooms may need programme feeds and wayfinding. LED walls, TVs and projection each suit different conditions.

  • indoor and outdoor LED walls, modular screen layouts and scenic LED elements
  • displays for stages, launches, sponsors, exhibition spaces and programme updates
  • high-brightness projectors, projection screens and suitable projection systems
  • TVs, freestanding monitors, touchscreens and digital wayfinding
  • confidence monitors, next-slide preview, countdown timers and speaker notes
  • video processing, signal distribution, input switching, content sizing and camera tests

We do not list 8K projection as standard stock for every event. When specified, we confirm the resolution of the whole signal chain, availability and cost. At many conferences brightness and legibility matter more than the 8K label.

Equipment hire for events and conferences

Organisers usually call with one question: is the equipment available for their date. The answer depends on the calendar, so tell us the date as early as you can. Individual items can be hired on their own, but we recommend hiring with installation - for LED screens, sound and lighting the setup is part of the result.

  • sound system hire for conferences, events and outdoor venues
  • LED screen hire, modular LED walls and on-site LED installation
  • video equipment hire: cameras, recording gear, vision mixing and monitors
  • projector, projection screen and projection equipment hire
  • hire of a single camera or a full crew, depending on the scale of the event
  • stage and ambient lighting hire, with a lighting operator
  • hire of staging, risers, truss, lecterns and furniture
  • supply and installation of professional sound systems and other conference equipment
  • production of content and animation for LED screens and event graphics

If you only need event equipment without our crew, we agree on collection, return and instructions; for more demanding systems we recommend an operator, because the setup decides whether the event will sound and look the way you intended.

Conference PA systems and microphones

Speech intelligibility comes first. We choose speaker placement around room acoustics, audience size, presenter positions, recording and interpretation. In-room sound, the live stream, recording and remote speakers can each require a different mix.

  • PA for the main hall, foyer, breakout rooms and outdoor areas
  • handheld and headset wireless microphones, lavaliers, tabletop and panel mics
  • microphones for moderators, audience questions, lecterns and roundtables
  • mixing speech, music, video playback and remote speakers
  • foldback and return audio designed to prevent echo on remote links
  • separate feeds for simultaneous interpretation, live streaming and recording

Stage, speaker and venue lighting

The same event may need neutral lighting for cameras, focused light for a speaker and brand-coloured ambience for networking. We plan cues around the run of show and the content on screen.

  • front, side and stage lighting for speakers and panels
  • ambient, decorative and architectural lighting in event colours
  • moving fixtures, followspots and effects when they fit the brief
  • lighting for the stage, backdrop, entrances, check-in and exhibition areas
  • battery-powered fixtures where cable runs are impractical
  • lighting operation and cues programmed to the show schedule

Stage installation, risers and technical structures

We plan the stage around the programme, cast, audience view and camera positions. We handle more than hiring individual stage decks: delivery, assembly, finishing, integration with equipment, testing and strike.

  • modular stages in suitable sizes and heights, risers, steps, railings and fascias
  • layouts for a keynote, panel, awards show, performance, product launch or several stages
  • backdrops, curtains, partitions, speaker entrances and backstage equipment areas
  • truss and stands for screens, projection, lighting, sound, cameras and decor
  • planning for stage height, sightlines, camera angles and accessible routes
  • load and rigging planning with the venue and appropriate specialists

Conference lecterns and speaker positions

The lectern often anchors event photography and filming. We provide it with appropriate microphones, lighting and branding so it looks like part of the same stage design.

  • classic and modern lecterns, or designs tailored to the event
  • logos, graphics and finishes matched to the client's brand
  • microphones, presentation space, a preview display or countdown timer where feasible
  • one or several speaker positions coordinated with production, interpretation and the stream

Venue decor, event furniture and furnishing

The event starts before the audience enters the main hall and continues after the last talk. We can furnish the entrance, check-in area, foyer, exhibition points, hospitality zone and networking areas. The design follows the brand, venue and budget.

  • chairs, tables, poseur tables, benches, lounge seating and supporting furniture
  • reception, check-in, information, exhibition and hospitality counters
  • carpets, curtains, partitions, scenic pieces, plants and floral elements by agreement
  • decorative lighting, illuminated furniture and brand-coloured accents
  • sponsor walls, room signs, wayfinding, photo backdrops and photo spots
  • furniture and practical facilities for presenters, moderators, VIP guests and backstage

Bespoke scenic design, large 3D models and brand activations

For a product launch or brand event, we can create a physical focal point: an oversized product model, three-dimensional logo, lit display or interactive installation. We design the concept to fit the venue, then coordinate fabrication, transport, installation and removal.

  • oversized 3D replicas of products, devices or packaging for launches and exhibitions
  • dimensional letters and logos, themed sets, gateways and custom entrances
  • display plinths, showcases, product islands and exhibition stands
  • photo spots combining physical scenic design with LED content or projection
  • touchscreens, QR experiences, animation and other digital activations
  • material, dimension, installation and access planning for the approved concept

3D venue visualisation before the build

We can prepare a 3D preview of the furnished room before you approve the setup. It helps decide on stage height, screen positions, the lectern design and the space available to visitors.

  • floor plans for staging, seating, tables, counters, cameras, the production desk and visitor routes
  • 3D views from the audience, stage and entrance
  • previews of LED walls, projection, decor, furniture, lighting and brand colours
  • comparison of layout options before equipment is booked or custom pieces are made
  • a visual reference for discussions with the client, venue and suppliers

The visualisation illustrates the proposed appearance. Final dimensions, load limits, cable routes and technical constraints are checked against the actual venue.

Guest arrival and supporting spaces

We plan the guest journey from entrance to seat: where badges are collected, how delegates find their room and what they encounter during breaks. For larger events, we link the physical layout to digital check-in and information screens.

  • welcome and check-in areas, registration counters and queue management
  • badges, schedules, room signs and programme screens
  • sponsor displays, product showcases and interactive points
  • lounge and networking space, photo spots, hospitality and VIP reception
  • coordinated layouts for multiple halls, connecting corridors and speaker preparation areas

Interpretation booths and simultaneous interpretation

An international conference needs technical conditions that let interpreters hear every speaker and delegates select the right language. If speakers join remotely, we also plan the incoming audio and the distribution of language channels.

  • booths, interpreter consoles and separate audio inputs
  • simultaneous interpretation systems with multiple language channels
  • attendee receivers and headsets, including distribution planning
  • signal routing between stage audio, interpreters, recording and the stream
  • interpreters themselves as an additional service by agreement

Vision mixing, recording, live streaming and hybrid events

We create appropriate experiences for people in the venue and online. The production desk combines cameras, slides, graphics, playback and audio; the LED wall and the stream can show different feeds when the programme calls for it.

  • single or multi-camera recording with fixed and mobile shots
  • switching between speakers, panels, presentations and video playback
  • live streaming to a chosen public or private platform
  • two-way links for remote speakers and audience questions
  • venue internet checks and a backup connectivity plan where needed
  • live monitoring of audio, video, links and recording
  • full recordings, cut-down clips, captions, photography and highlight films by agreement

Presentations, timers and screen content

Smooth speaker changeovers need more than plugging a laptop into a projector. Slides, fonts, embedded videos, aspect ratios and the correct file versions need checking ahead of time.

  • collection and technical checks of presentation decks
  • slide operation from the desk, presentation clickers and backup playback computers
  • countdown timers, moderator cues, speaker prompts and teleprompters
  • branded templates, openers, lower thirds, videos and LED animations
  • schedules and wayfinding on displays around the venue
  • separate content for the main hall, breakout rooms, presenters and online audience

Custom guest registration and verification software

Epix also develops software, so the technical production can include the visitor journey from invitation to arrival. We tailor the system to the event rather than forcing the organiser into a fixed workflow.

  • registration forms, invitations and RSVP confirmation
  • QR codes, guest lists and entrance check-in
  • badges, ticket categories and access rights for rooms or individual days
  • arrival and attendance dashboards for organisers
  • integration with existing client systems where required
  • post-event attendance reports and agreed data handover
  • custom interactive presentations, check-in kiosks and information screens

We agree on personal data handling, access permissions and retention with the client before development starts.

Events we support

  • conferences, congresses, symposia and professional meetings
  • product launches, press conferences and corporate events
  • business panels, roundtables, shareholder meetings and internal events
  • trade shows, exhibition spaces, ceremonies and awards
  • hybrid and multilingual events, live streams and multi-room programmes

FAQ

Can you provide all the conference AV equipment and technical crew?

Yes. We can combine venue design, stage installation, lecterns, furniture, decor, power, LED or projection, sound, lighting, interpretation, video, streaming and an on-site crew in one project. You can also book a single service.

What event equipment do you have available for hire?

Sound systems, LED screens, projectors and projection screens, cameras and recording gear, stage and ambient lighting, staging and risers, lecterns, furniture and interpretation booths. Availability depends on the date, so let us know your date as early as possible.

Can we hire the equipment without your crew?

Individual items can be hired on their own, with agreed collection and return. For LED screens, multi-camera setups and larger sound systems we recommend hiring with an operator, because the build and the settings decide the result.

Do you install the stage or only hire out stage equipment?

We can take on the complete setup: design, delivery, assembly of risers and finishes, integration with screens, sound and lighting, testing and strike. Dimensions and technical requirements follow the venue and programme.

Can you supply lecterns and event furniture?

Yes. We can include lecterns, tables, chairs, reception counters, lounge furniture and other venue equipment in the proposal. Selection depends on the event design and availability for the date.

Can you create an oversized product model or custom scenic feature?

Yes. We can design a 3D model, dimensional logo, exhibition piece or photo spot and coordinate fabrication and installation. The final design, material, size, lead time and price are agreed after the concept is approved.

Can we see what the furnished venue will look like before the event?

Yes. By agreement, we can prepare floor plans and a 3D visualisation showing the stage, screens, counters, furniture, decor and lighting. We then check the proposal against the real venue dimensions and restrictions.

Can you supply an LED wall, TVs and a projector at the same event?

Yes. We plan different displays for the main hall, speakers, foyer and breakout spaces, then coordinate sources and feeds. The venue plan determines the sizes and formats.

Do you provide high-brightness or 8K projectors?

We can propose high-brightness projection for demanding venues. If the brief specifies 8K, we check an appropriate solution and availability for the date; 8K is not a standard feature of every setup.

Can you handle sound and microphones for a multi-speaker panel?

Yes. We plan the microphone count and type, room PA, audience questions and separate feeds for interpretation, recording and streaming.

Can you provide simultaneous interpretation?

We can provide the technical system: booths, language channels, receivers and headsets. Interpreters can be included by agreement.

Can you run a hybrid event with remote participants?

Yes. We design two-way video and audio for remote speakers, sound return into the room, camera and slide switching, and check venue connectivity.

Can you develop guest registration and check-in?

Yes. Depending on the brief, we can build sign-up, QR verification, badges, arrival dashboards and reporting, and connect the system to existing software. The project specification sets the exact features.

Do you handle venue power distribution?

Yes. We plan loads, temporary distribution and safe cable routes with the venue; specialist electrical work is coordinated with a qualified contractor.

Can you deliver events outside Slovenia?

Yes. Venue requirements, transport and crew logistics become part of the plan and quote for each event.

What do you need to prepare a quote?

Send the date, venue, outline programme, expected audience and speakers, venue plan and any requirements for displays, microphones, interpretation, streaming or filming. Send what you already know even if some details are pending.
