Industry

Education - digital solutions.

Records, enrolment and participant communication.

Tell us about your environment All projects

When clients usually bring us in

  • the existing system no longer keeps up
  • the work happens in spreadsheets
  • data is duplicated across systems
  • you need a new application
  • you want to modernise an old system
  • you're building a new digital product

What this means for you

  • a solution that respects how your sector actually works
  • we start with the part that pays off first
  • one team for the digital and the physical side

What we can digitalise

  • enrolment and records
  • participant portals
  • materials and documentation
  • AI search across materials
  • video and streaming

What we digitalise in education

In education the manual work hides before and after the programme: enrolment, eligibility checks, scheduling, participant communication, certificates and records. Delivery itself is usually well organised; the edges are not.

  • enrolment with document collection and eligibility checks
  • records of participants, attendance and completion
  • a participant portal with materials and announcements
  • timetables, sessions and change notifications
  • certificates and transcripts generated automatically
  • search across materials with source citations
  • lecture recording, streaming and a recording archive
  • accessibility of materials and the portal

Participant data

Education records hold personal data, often about minors or health-related limitations. So the design must define who may see what, how long data is kept, who may export it and what happens once the programme ends.

This is not legal advice - the legal assessment belongs to the institution; we implement the agreed rules technically.

What we need from you

  • the path of one enrolment from submission to confirmation
  • which conditions must be checked and by whom
  • a sample of the certificate or transcript you issue
  • where the materials live today and who maintains them
  • how many participants you have at peak

A typical case

The example illustrates the type of task, not a specific client.

A training provider collects applications through a form, supporting documents by email, and keeps records in a spreadsheet. Every year the same work is repeated by hand. The system takes over the application with its documents, checks eligibility, assigns participants, notifies them of timetable changes and issues certificates at the end without manual filling.

How such a project runs

01

Process mapping

Mapping one enrolment from submission to certificate.

02

Requirements and criteria

Which conditions are checked, who confirms them and what happens with an incomplete application.

03

Design and prototype

A prototype of the application and the participant portal.

04

Phased build

Enrolment and records first, then materials and notifications.

05

Rollout and support

Go-live before the enrolment period, not during it.

What you receive

  • a working system in production, with a separate test environment
  • documentation of the process, the rules and the integrations
  • user guides and training for your team
  • test scenarios and acceptance test results
  • access, source code and data under the agreed model
  • automatically issued certificates and transcripts

Signs that it is time for a change

  • applications arrive by email and the register is a spreadsheet
  • supporting documents are checked by hand every year
  • certificates are filled in by a person
  • participants are not told about changes in time
  • materials are scattered across different folders
  • you want to record and stream lectures

How we work in this sector

Where we start

We look at which processes run manually, where data is duplicated and what would deliver the biggest effect.

First step

We start with a bounded scope that can be rolled out quickly and measured.

Scaling

Once the first part works, we add the next step of the process or the next location.

Support

After rollout we stay available with an agreed response time.

FAQ

Do you have experience in our sector?

Tell us the specific process; we'll show where we solved the same type of problem, even if the sector was different.

Where does it make sense to start?

With the step that repeats most often and takes the most manual work.
