Professional conference · Two halls

Technical delivery of a professional event running in two halls at once.

For Dentalia's HiDent event we delivered the technical setup in two halls simultaneously, including switching between presentations from different laptops, with full sound and video support.

Every speaker on their own laptop, with no gaps between talks.

The project

The event brings together dental medicine professionals and ran in two halls at once - two separate technical setups and two timelines that must not drift apart.

Every speaker wanted to present from their own laptop. We prepared the switching so that there were no interruptions or waiting for connections between talks.

For the moments when the system was being set, we produced graphics that ran on screen, so the gaps were not empty.

What this project proves

Parallel technical delivery of two halls at a professional event.

Two halls mean two timelines

A parallel programme is not one delivery with two stages. It is two technical builds, two crews and two schedules that must not slip - because delegates move between halls between talks, and any delay propagates.

  • separate picture and sound builds for each hall
  • aligned schedules so talks do not clash wrongly
  • the same quality in both halls, not a main and a side room
  • a crew that can cover both halls

Every speaker on their own laptop

Speakers at professional events rarely hand in their slides in advance. They bring their own laptop, with its own resolution, its own connector and often a presentation finished during the previous talk. The handover between them is where professional events lose minutes.

The transitions were set up so no talk waited on a connection, and a graphic ran on screen during setup so the gaps were not blank.
