For the Smart Grid '25 PCI Summit at Hotel Mons in Ljubljana we delivered the full technical setup: LED wall, recording and live stream, presentation coordination, and stage and room lighting.

The project

We installed an ABSEN P2.0 LED wall that stays readable from more than 30 metres - a requirement in a conference room with panel discussions, so that people in the back rows can still read speaker names and slide content.

The event was recorded and streamed live to a web platform. Presentations came from several different laptops, so we took over the technical coordination of the switches between them.

For programme timing we placed a countdown timer in front of the stage for the speakers, and ran an opening countdown on the LED wall before doors.

Stage and room were lit with fixtures rated above CRI 97, which means colours in photographs and in the recording match the room. The ambient room lighting was matched to the green of the project's visual identity.

The evening before the event the client decided the speakers would sit rather than stand, which changed the proportions on screen. We adapted all presentation graphics to the new layout overnight, so that the next day the programme was not adjusted to the technology - the technology was adjusted to the programme.

What this project proves

Full technical delivery of an international conference, including a layout change made the night before.

Why a conference hall is harder than a concert stage

At a concert the screen supports the atmosphere. At a professional conference the screen carries the content: if someone in the back row cannot read a speaker's name or a figure on a slide, the programme fails its purpose. So pixel pitch and brightness are not a technical detail but a condition for legibility.

  • colours that match on camera and in the room
  • transitions between presentations with no blank screen
  • speaker timing so the programme does not slip
  • a live stream running in parallel with the room

A change the evening before

Deciding that speakers will sit rather than stand sounds like a programme detail. In practice it changes eye height, and with it the proportions on screen and the placement of graphics - meaning every presentation background had to be reworked overnight.

That is the difference between an equipment supplier and a production team: the equipment was installed either way, but the next day the programme ran without bending itself to the technology.
